Workflows
Build a repeatable job once - a set of tasks, a naming convention, a download format - and run it across a whole client list in one go.
- 1
Build the sequence
Add the tasks the job needs - for example About, Current Position and Tax Year Overview - then drag to reorder them and rename any task so the output reads the way your practice expects. The same sequence runs for every client you select.
- 2
Name the files
Build a naming template from tokens such as {clientName}, {clientCode}, {taskName}, {taxYear} and {date}. For example "{clientName} - {taskName}" produces "Jane Smith - Tax Year Overview.pdf". A live preview shows real file names as you type, and if a token is empty for a client (say a missing client code) the surrounding separators are tidied up so you never get "Jane - - Overview".
- 3
Choose how it downloads
Pick one combined zip for the whole run, or a separate zip per client. Per-client zips download as each client finishes, so a long run is not blocked until the end; clients with the same name are kept in separate folders automatically.
- 4
Pick clients, review and run
Select clients from your saved list or paste a column of UTRs. The review step summarises exactly what will run before anything starts. Progress is tracked per client and per task, so a slow or failed client is obvious and the rest of the run still completes.
- 5
Reuse it as a template
Save a workflow you run regularly - quarterly checks, year-end packs - as a template, then load it next time instead of rebuilding it. Loading a template and changing it updates that template rather than creating duplicates; rename or delete templates from the Templates dialog.
